Library, retention and sharing

The Videos library holds your finished videos. This page explains what happens when you delete one, how long the files are kept, how to share a video with a link that expires, and how to export videos as a ZIP. These are web app features: they need a web sign-in and are not MCP tools or REST endpoints.

Delete and restore

  • Deleting a video takes it out of the library. For 7 days you can restore it.
  • You can delete up to 100 videos at once.
  • A video that is still in use is refused with VIDEO_IN_USE, and none of the videos in that request is deleted. A delivery, a locked take, a review, a timeline, an unfinished run, a saved library version or another project can still use it.

Purge after 7 days

After the 7 days a background worker removes the files of a deleted video, a few at a time (at most 10 videos per run). The worker is careful:

  • A file is removed only when nothing else still points at it: no other video row, delivery, saved version or approval snapshot, in any workspace. The files are reference counted.
  • A video that is in use again is kept and restored instead of being purged.
  • After a purge the video cannot be restored.

Retention date

A video the product generates can carry a retention date: the day it is scheduled to be deleted. Uploads never get one.

  • A video made through an API token is kept for 30 days by default. A video made in the web app has no date by default and is kept until you delete it.
  • The platform operator sets these periods, not you. A period of 0 means the video is kept until you delete it.
  • Nothing is deleted when a date passes until the operator turns enforcement on. Enforcement is off by default.
  • The date is set when the video is made. Changing a setting later never gives an old video a date.
  • By default automatic deletion is off. The library still shows the date, with the note that automatic deletion is not turned on yet.
  • Keep removes the date. Extend 30 days moves it 30 days later. Editors can do both for selected videos; a video with no date is skipped.
  • An admin can see a report of what the next 30 days would delete.
  • When deletion is on and email works, a digest warns about videos 7 days before their date.
  • Restoring a video brings its retention date back.

Share links

A share link lets anyone download one library video without an account, until the link expires.

  1. Open the video in the library and choose Share. Only editors can create a link, from a web sign-in.
  2. Pick how long it stays valid: 1 to 30 days; the default is 7.
  3. Copy the link at once. It is shown only once; only a fingerprint of it is stored. The dialog lists the links of the video with their status (active, expired or revoked), their expiry date and how often they were opened.
  4. Revoke a link at any time.
  • The link opens a download of that one file, under a neutral file name. It gives no other access to the workspace.
  • An unknown link answers 404. An expired, revoked, deleted or purged one answers 410 with SHARE_LINK_EXPIRED. Too many requests from one address answer 429.
  • A user can create up to 30 links per hour.

Export as a ZIP

  • Select 1 to 50 videos in the library and choose Export ZIP.
  • The ZIP holds the video files and a manifest.json. A video that was left out because it is deleted, purged, unavailable or not found is listed in the manifest.
  • A ZIP larger than the size limit (1 GiB by default) is refused with EXPORT_TOO_LARGE. Select fewer videos.
  • A user can make up to 20 exports per hour. The ZIP is prepared for the download and is not kept afterwards.
